Sage & Sea Luxury Picnics – Terms & Conditions

Booking, Retainer & Payment

To secure your date, a £50 non refundable retainer is required. This will be deducted from your final balance and covers initial planning and reservation of your date.

The retainer can be transferred once within 6 months, subject to availability.

The remaining balance is due no later than 5 days prior to your event.

We accept payment via bank transfer, payment link, or cash.


Cancellations & Rescheduling

  • Cancellations made more than 7 days before the event may be refunded, excluding the retainer fee
  • Cancellations within 7 days are non refundable, but may be rescheduled once within 6 months (subject to availability)
  • All changes must be made in writing and confirmed by us

Weather Policy

We monitor weather conditions closely.

If weather affects your event:

  • We will offer rescheduling or relocation where possible
  • If conditions are unsafe and no alternative is possible, we will reschedule your booking

Our Right to Cancel or Adjust

Sage & Sea reserves the right to cancel, reschedule, or adjust the setup if:

  • Weather conditions are unsafe
  • The location is unsuitable, inaccessible, or poses a risk
  • Incorrect or incomplete location details were provided
  • External factors prevent safe or reasonable setup

In these cases, we will offer a new date or alternative solution.


Travel Fees

Travel is included within 3 miles of BH1.

Locations beyond this will incur a travel fee starting from £20, depending on distance, travel time, and access requirements.

Long distance bookings will be quoted individually.


Equipment, Damages & Care

You are responsible for all equipment during your hire time.

  • Any damage, stains, or missing items may incur a charge
  • Costs will be assessed and invoiced accordingly
  • Please treat all items with care

Setup & Access

  • Clear and safe access to the location must be provided
  • Parking must be available nearby or communicated in advance
  • Delays caused by access issues may affect your setup time

Timing

Your booking includes the agreed hire time.

Additional time is charged per full hour and must be arranged in advance, subject to availability.


General Responsibility

Sage & Sea is not liable for any injury, loss, or damage during your event unless directly caused by our equipment or setup.

You are responsible for ensuring permission is granted for your chosen location.


Agreement

By booking with Sage & Sea and paying the retainer, you agree to these terms.

Cancellations & Rescheduling

If you need to cancel:

  • Cancellations made more than 7 days before the event are eligible for a refund, excluding the retainer fee.

  • Cancellations made within 7 days of the event are non-refundable, but we are happy to reschedule your picnic at no extra cost, once within 6 months (subject to availability).

  • All cancellations or changes must be made in writing via email or WhatsApp and confirmed by us in return.


Weather Policy

We keep a close eye on the weather and will communicate with you if bad weather is expected.

In the case of rain or extreme conditions:

  • We’ll do our best to relocate or reschedule your picnic.

  • Canopies or indoor setups may be offered for an additional fee.

  • If severe weather makes it unsafe to proceed and no indoor solution is possible, we will offer you a new date, free of charge.

We will only cancel on our end in extreme or unavoidable situations. If this happens, we’ll provide a full refund or reschedule as you prefer.


Equipment, Damages & Inventory

A full setup inventory checklist will be shared upon delivery and reviewed again during collection.

Please treat all items with care. If something gets damaged or lost:

  • We’ll assess the cost and deduct it from your security deposit (if applicable).

  • If damage exceeds the deposit, a separate invoice will be sent.

  • You may be liable for any missing items due to loss or theft during your hire.
